Moving patient data when billing accounts change hands

Patient information has to move carefully in any billing sale. Here's how it usually works under HIPAA.

Agreements first

Each client signs a business associate agreement with the buyer before any patient data moves. Until then, share only summary numbers, not patient details.

Moving the data

  • Use a secure, encrypted transfer method
  • Move only what's needed: claim history, open A/R and payer setups
  • Keep a record of what was sent and when

Afterwards

Check your old business associate agreement for what you must return or destroy, and any record-keeping you're required to keep. Ask a healthcare lawyer if you're unsure.

  • We sign an NDA before you share client names or numbers.
  • Your clients hear about it from you and us together, after signing. Never before.
  • Every term, including how and when you're paid, is written out in plain English before you sign.
  • Your clients' fees don't go up for at least 12 months after the handover.
  • If you're selling only your anesthesia accounts, we won't approach your other clients. We'll put that in writing.
  • If we're not the right buyer, we'll tell you quickly and point you somewhere better if we can.
